Feature spotlight: Understanding the "Clear All" Function in the Operational Monitoring Platform

Overview of this training session

The "Clear All" function in the Control Center is a powerful tool designed to help users manage and clear alerts in bulk when circumstances require it. However, it’s essential to understand what it does, when to use it, and who has access. In this guide, we’ll walk you through the functionality, processes for clearing check, overdue, and sensor alerts, and some key considerations when using this tool.

What is “Clear All” and When Should You Use It?

Ideally, alerts in the Control Center should be addressed individually as they arise. However, sometimes situations occur where a backlog of alerts builds up or specific sensors may send persistent alerts due to malfunction. In these cases, using "Clear All" allows users to clear multiple alerts simultaneously.

It's crucial to use this function carefully, as it clears all selected alerts, including any still active ones. Access to the "Clear All" button is limited to specific roles within the Control Center to ensure it’s used appropriately.

Who Can Access the “Clear All” Function?

Access to "Clear All" depends on the user’s role:

  • Safety Manager: Can clear all alert types within a location but not for a specific team.
  • Administrator: Can clear all service alerts within a location but not within a team.
  • Supervisor: Does not have access to “Clear All”; they can only clear individual alerts.

When a user has both Supervisor and Administrator roles, they gain the combined ability to clear all alert types for both their team and location. This dual role can function similarly to the Safety Manager role, so assigning roles thoughtfully is advised.

Clearing Check and Overdue Alerts

Only users with Safety Manager roles or users with both Supervisor and Administrator roles can clear check and overdue alerts in bulk.

  1. Navigating to the Alerts Screen: In the Control Center, users with appropriate roles will see options to view alerts by location. Those with Supervisor roles will also have the option to view by team.
  2. Review Alerts: Before proceeding, it’s helpful to review the check alerts list to ensure no critical items are overlooked.
  3. Clearing Alerts:
    • Press the "Clear All" button at the bottom left.
    • Enter a reason for clearing the alerts in the comments box.
    • Confirm the action; this will apply your comment to each cleared alert for record-keeping.
  4. Verifying Clear All in the Report: After clearing, the alerts report will reflect the use of "Clear All" and display the reason provided.

Clearing Sensor Alerts

Clearing sensor alerts can have lasting implications, and only Safety Managers and users with both Supervisor and Administrator roles have access to clear these in bulk.

When clearing sensor alerts, it’s important to be aware that:

  1. The Sensor’s Behavior: The sensor will continue recording data but won’t send further alerts until the temperature returns within the normal range and then moves back out of range.
  2. Status Indicators: In the automated monitoring status screen, the sensor status may display in green (indicating "normal") even if it’s out of range until it goes back in range and then out again.
  3. Disabling Faulty Sensors: If a sensor is faulty, Safety Managers can stop alerts by disabling its rule. Contact support at help@checkit.net for assistance.

Avoiding the Clear of Currently Alerting Sensors

Clearing currently active sensor alerts can be avoided by using the "Clear All" function within the "View by Team" option. This approach ensures that only alerts with a “stopped alerting” status are cleared, leaving currently alerting sensors untouched. Here’s how:

  • Using the Team View: With the Supervisor role, view the sensor alerts by team. Only alerts marked as "stopped alerting" will be cleared, while active alerts will remain.
  • Switching to Location View: If you’re confident that active alerts should be cleared, switch to "View by Location" as an Administrator to clear all alerts, including those currently active.

By using both roles in combination, users can clear “stopped” alerts first and then proceed with location-wide clearing for any remaining active alerts.

Best Practices for Using “Clear All”

If you have dual roles, consider the following approach for effective alert management:

  1. Clear by Team First: Address team-level alerts first to clear any that are no longer active.
  2. Verify Remaining Alerts: After team clearing, only currently alerting sensors should remain.
  3. Clear by Location if Confident: If the remaining active alerts are ready to be cleared, switch to location view as an Administrator to finalize the process.

By following this approach, users can ensure efficient management of alerts while preserving the integrity of critical alerting sensors.

Final Thoughts

The "Clear All" function is a robust feature in the Control Center, providing efficient ways to manage bulk alerts. However, remember that it should be used with caution, especially when dealing with sensor alerts. Properly understanding role permissions and alert statuses ensures you can use this function wisely and responsibly.
