This training session provides a comprehensive guide on how to effectively manage alarm contact lists for medical monitoring using the Checkit platform. The session covers the importance of these lists, how alarms are triggered, and practical steps for managing your contact information.

 

Why Alarm Contact Lists are important

Alarm contact lists ensure that you are immediately informed about critical issues such as high or low temperature alarms, which could potentially affect your valuable stock. The process includes:

  1. An alarm is triggered by the system.
  2. You are contacted via phone, SMS, or email.
  3. You investigate the issue.
  4. An incident audit is completed.

These contact lists help ensure timely response and action to prevent loss or damage.

How Alarms are triggered

  • Sensors: Devices with probes and transmitters monitor temperatures and send readings every minute.
  • Warp Device: The warp records and transmits data from the sensors.
  • Set Points: Temperature thresholds that define when an alarm is triggered. Both high and low set points are customizable and can include a time delay before an alarm is activated.

Managing Alarm Contacts

Managing your contact list is simple with the Checkit system. Here's what you need to know:

  • Access: Only users with specific permissions can modify contact lists.
  • Modifying contacts: You can add, update, or remove contacts as needed. Each contact can receive notifications via phone, SMS, or email, based on the priority set.
  • Switchboard handling: Set up specific instructions for handling calls that go through switchboards, ensuring that alarms are passed to the correct person.

Best Practices for Contact List Management

  • Keep contact lists updated: Regularly update your contact list to ensure that only the correct individuals are notified. This is particularly important when staff changes occur.
  • Multiple Contact options: Use all 10 available contact slots for redundancy. Consider repeating contacts to ensure critical alarms are addressed promptly.
  • One phone number per line: Each phone number must be entered on a separate line to ensure proper call processing.
  • Distribution Lists: Use distribution lists in Outlook to manage email notifications for larger groups. This makes it easy to add or remove contacts without adjusting the entire contact list in the system.

Optimizing Alarm responses

  • High-Value Freezers: For critical items like human tissues or oncology medications, repeat key contacts in the list to ensure prompt responses.
  • Low-Value Assets: For less critical areas, such as ambient rooms, consider limiting notifications to SMS or email only to reduce unnecessary phone alerts.

Additional features

  • Set Points: Make sure your set points (high/low temperatures and time delays) are configured correctly to trigger alarms appropriately.
  • Automatic Notifications: You can set up automatic notifications for specific alarms, such as power failures or transmitter offline alerts, to bypass the contact list and send immediate notifications via SMS or email.

  • Can I assign separate contacts for each freezer?
    Yes, you can assign different contacts for specific equipment. This can be configured based on your requirements.

  • Can I be a contact without being a user?
    Yes, users and contacts are managed separately. You can be set up as a contact to receive alarms without needing full system access.

  • How do I know which probes a contact list is attached to?
    If needed, a detailed list of probes and their corresponding contact lists can be provided.
